Walk the site before hire confirmation
Confirm access route, gate width, hard obstacles and likely pinch points. Add one note for each route: who holds keys, where materials are stored and who will be on hand at arrival.
Check permissions and timing window
Record when the operator can access the site and who signs permit conditions. If a late change is likely, include it as a confirmed contingency rather than leaving verbal assumptions.
Identify public and utility constraints
Mark temporary public-side or utility-side constraints early: parking bays, pedestrian flow and known overhead lines. Most delays come from a missed utility note, not from the machine itself.
Confirm a post-hire handover time
Before the first unit starts, agree a practical handover time for both dispatch and return. This makes the day clearer for operators and clients and leaves less room for expensive ambiguity.
